10 Features to Look for in Booking Software

10 features to check before price when choosing booking software: availability logic, double-booking protection, staff calendars, reminders, cancellations, client history, privacy and transparent pricing.

The most common mistake when choosing booking software is looking only at the monthly price. The real question is: which jobs does the software reliably do for you? The 10 features below make a checklist you can use whichever product you're evaluating.

1. Real availability calculation

Good software doesn't just show "free time"; it combines service duration, buffers before and after the service, staff working hours, time off and existing appointments. If a 120-minute service can be booked into a 60-minute gap, you'll end up back on the phone.

2. Double-booking protection

What happens when two clients pick the same time at the same second? The software should re-check the slot while saving the booking and offer the second person another time. Always ask about this.

3. Staff-based calendars

If you have more than one employee, each person's working hours, time off and services should be set separately. Clients should be able to choose a specific person or "anyone". See our guide to staff-based scheduling.

4. Client self-booking

Clients should be able to book in a few taps from their phone, without downloading an app or signing up. The booking page should load fast on mobile and have one link you can share on Instagram, WhatsApp and Google Business Profile.

5. Automatic confirmations and reminders

Confirmations and reminders should go out automatically. Find out which channels (email, SMS, WhatsApp) are included and which cost extra per message; this line item changes the monthly cost the most.

6. Cancellation and rescheduling rules

Clients should be able to cancel or move their booking themselves up to the deadline you set (e.g. 24 hours before), and the freed-up slot should reopen immediately. This also reduces no-shows.

7. Client history

Each client's visit count, last visit, spending, favorite service and no-show count should be on one card. This is the core data for personal service and win-back messages.

8. Reports

Reports such as daily and monthly bookings, estimated revenue, staff performance, peak hours and cancellation rate show when to run a promotion or add staff.

9. Privacy and data security

The booking form should collect privacy notice consent, ask for marketing permission separately, let you delete a client's data on request and let you export your data. Your business's data should be kept separate from other businesses.

10. Transparent pricing and a free start

Prices should be published on the site, with no setup fee or mandatory commitment, a free trial or free plan, and written refund terms. For a price comparison, see our booking software pricing guide.
